Begin with a business case, not a product demo

Define the business process, the problem, the people affected and the decision that an AI initiative should improve. Without an outcome, a successful demonstration can still turn into an expensive workflow.

Establish your baseline

Record throughput, turnaround time, rework, conversion, quality and operating costs before deployment. Use a sufficiently representative period and note seasonal effects. If the baseline is unreliable, improve measurement before projecting savings.

Calculate total cost of ownership

Include subscriptions or model usage, integration, setup, human review, security controls, training and ongoing maintenance. Account for the time employees need to learn the redesigned process. Avoid presenting gross time savings as cash savings unless they actually change spending or generate additional output.

Pilot with a defined decision gate

Run a constrained pilot with success thresholds and a rollback plan. Compare the pilot with the baseline and monitor error rates and exceptions. Human oversight is especially important where incorrect outputs could affect customers, finances or private information.

Review adoption and business impact together

A tool can perform well in isolation and still fail to create value if the workflow is not adopted. Pair system usage and quality metrics with business KPIs, review results with process owners and keep optimizing after the initial launch.
